Order tags

A Shopify order tag is a label. ShopTasks makes it assigned work.

If an order is tagged `manual-review`, `wholesale`, or `hold`, ShopTasks can automatically create an assigned task linked to that order so the tag remains visible as work until somebody resolves it.

Tags organise orders. They do not assign the next step.

Shopify tags are how many stores route exceptions: `manual-review`, `preorder`, `wholesale`, `gift-wrap`, `hold-fraud`. Filters and Flow conditions already depend on those tags. What usually does not exist is a person responsible for finishing the work the tag implies. The tagged order sits in a view. The packing note, the review, or the wholesale pack slip is still informal.

Tag applied → task created → owner assigned

Keep the tags you already use. Add a ShopTasks step: when the tag is applied (manually or by Flow), create a task that names the work — review, pack, call the buyer — and assign it. The tag can stay on the order for reporting. The task is what prevents the work from being forgotten. This is one of the fastest ShopTasks setups because you are not inventing new conditions; you are finishing the ones you have.

Order tag workflow

  1. 1

    You already tag the exception

Staff, Flow, or another app applies `manual-review`, `wholesale`, `gift-wrap`, or a hold tag.

  2. 2

    Flow watches for that tag

Trigger: order tagged (or order created with the tag). Condition: tag matches your list.

  3. 3

    ShopTasks creates the matching task

Title and assignee depend on the tag — reviewer for `manual-review`, warehouse for `gift-wrap`.

  4. 4

Work completes; tag can remain for reporting

The task closing is the operational finish line. The tag can still drive Shopify views and reports.

manual-review tag

Trigger → conditions → ShopTasks task → assignee → completion

  1. When

    Order tagged

  2. If

    Tag added is `manual-review`.

  3. Then

Create ShopTasks task: Complete manual review for order #4412

Linked to the Shopify order. Assigned to the review owner. Due the same day if the order would otherwise fulfil.

  4. Assign

    Operations reviewer

  5. Complete

Review finished and the order released or cancelled. The tag may stay; the task is done.

ShopTasks templates and tasks created from repeating Shopify order patterns
Repeatable work from tags you already use

What this changes

  • Reuse tags you already have

No new taxonomy required if your exceptions are already tagged.

  • Different tags, different owners

Wholesale packing and fraud review should not land on the same unnamed queue.

  • Flow-friendly

Order tagged is a native Flow trigger. ShopTasks is the action that creates ownership.

  • Forgotten tagged orders become overdue tasks

A filter of tagged orders is easy to ignore. An overdue task is not.

Who this is useful for

  • Stores that already route work with order tags
  • Ops teams with a `manual-review` or `hold` tag in Flow
  • Wholesale and gift-wrap processes that start from a tag
  • Anyone who has a saved Shopify view of tagged orders and still drops follow-ups

Create a task when the tag is applied

WHEN order tagged → IF tag is one you care about → THEN create a ShopTasks task for the matching owner. See the workflow page for the full pattern.

FAQ

Do we have to stop using tags?

No. Tags remain useful for filters and reports. ShopTasks adds the assigned work the tag implies.

Can different tags create different tasks?

Yes. Use separate Flow workflows — or conditions inside Flow — so wholesale packing and fraud review are assigned to the right people.

What if the tag is added by another app?

If Shopify records the tag on the order, Flow can still watch for it and create a ShopTasks task.

Is ShopTasks free?

Yes. Free to install, with up to 500 active tasks, unlimited staff, and unlimited boards.
